Payment and Refund Info and Policies

 

Tournament Fee and Greens Fees

Tournament and Greens Fee are collected when you register (sign up) for a round by the Golf Genius software.  Credit card entry and processing is handled by the Stripe credit card processing system.   

 

For the Weekend events, Evergreen Golf Club is required to commit to a fixed number of tee times and provide advance payment, typically 7 days in advance, so we must collect the full payment in advance. This may also limit our ability to grant refunds (see below for refund policies).

 

For the Thursday 9-Hole League at Willows, EGC will collect the Tournament Fee, but you will need to pay the green's fees when you check in at the course.  This allows people who have Willows Cards or Senior Cards to take advantage of those discounts, and to take advantage of time-of-day rates.  We need to lock in the number of tee times reserved several days in advance to free up unused times for the course to sell to the general public.  Please do not cancel or no-show at the last minute as this leaves unsold tee times and the course might change their policy on permitting us to pay individually, and move us back to a one-fixed-fee for everyone. 

 

Waiting List

Please add yourself to any event you are interested in as soon as registration opens.  If the current registration is full, please get on the waiting list. 

(1) If someone withdraws, the next person on the waiting list is automatically offered the slot. 

(2) We also frequently use the number of people on the waiting list to request extra tee times.  If there are a lot of people on the waiting list, we can usually try to get additional tee times.  

 

 

Late Registration & Standby

EGC is not able not offer late registration or "day-of-the-round" standby. Get on the waiting list if you are interested in an event. Once registration closes, we are going to prepay the course for the number of players that are registered and release any unused tee times. 

 

Optional Skins Game

Optional Skins Game Payments will be through Golf Genius/Stripe as well.  

 

Refund Policy

Due to the requirement to commit and pre-pay the courses, we will have a deadline date for online sign-ups and withdrawal options.  Prior to the deadline date, if you withdraw using the web site, we can manually process you for a refund.  If you with draw, please send an email to evergreengc@outlook.com so we know we need to process the refund. 

 

After the deadline date, the official policy is that the greens fees portion of the payment is non-refundable.  We will refund the tournament fee portion manually if you notify us prior to the event (but after the refund deadline) that you are unable to attend. 

 

Under limited circumstances, and at the Tournament Director's and course management's discretion and availability, we may be able to offer a full refund of the greens fee after the signup/refund deadline.  The minimum conditions for refund are:

  1. There must be someone on the waiting list able to fill your slot to cover the greens fee. 
  2. There must be sufficient time to fill the slot from the waiting list.  This means we need time to contact them and confirm they are able to attend, and the waiting list entrant must complete payment of the greens fee and tournament fee prior to the tournament.  At times, and at the discretion of the individual course management, they may let us reduce the tee time commitments which will also allow us to grant a refund. 
  3. The Tournament Director must have sufficient time (and access to a computer) to make the changes prior to the tournament start. This is up to the individual TD to determine. 
  4. You must have a reasonable reason for the late change.
  5. We reserve the right not to refund repeat or regular offenders.  A manual player swap & manual refund after the signup deadline is supposed to be an emergency, unanticipated event. 

 

Credit Card Payment System

Golf Genius uses Stripe, one of the top online and point-of-sale credit card processing systems in the country, for processing credit cards.  Stripe has a strong reputation for privacy and security of your credit card information.  Evergreen Golf Club board members do not have access to your credit card information at any time.
